Three Engagements, Each at Its Own Pace
Our services are designed to meet procurement teams at the point they are actually at — assessing, piloting, or governing AI use in document workflows. Fixed prices, clear scope, and a written record at every stage.

How We Approach Every Engagement
Each engagement starts with reading — your documents, your procurement framework, and the applicable MOF or Treasury circulars. We do not bring a pre-formed recommendation to the first meeting. We bring questions.
From there, we move at a deliberate pace. A written brief precedes any technology introduction. A usage policy precedes any pilot. Ongoing stewardship follows any live deployment. The sequence is not accidental — it reflects how procurement teams in Malaysia can introduce AI tools responsibly, within the governance structures they already operate under.
Quality assurance in our practice means two things: the written record is always current, and the boundary between AI reading and buyer decision-making is always explicit. If we find during a pilot that a tool is overstepping — producing outputs that look like recommendations rather than summaries — we pause and address it before continuing.
Timeline expectations: a Workflow Review typically completes within three weeks. A Proposal Reading Pilot runs for six supervised weeks. Quarterly Stewardship is an ongoing monthly arrangement with no fixed end date.

Procurement Workflow Review
A short engagement where we read a sample of your tender documents, supplier proposals, and PO data, sit with your procurement head and one category lead, and write a brief on where AI summarisation could carefully ease reading load. The work is MOF, Treasury, and PDPA-aware.
This is the right starting point for organisations that are receiving pressure from leadership to explore AI in procurement but want a considered view before making any tool decisions.
What This Engagement Includes
- Review of a document sample (up to 20 items across tender, PO, and proposal categories)
- One structured meeting with procurement head and one category lead
- Written brief identifying high-reading-load tasks suitable for AI assist consideration
- Notes on applicable MOF and Treasury circulars for your entity category
- PDPA data classification note for the document types reviewed
Process Steps
Document intake and initial read (Week 1)
Meeting with procurement head and category lead (Week 1–2)
MOF/Treasury and PDPA review (Week 2)
Written brief delivered within 5 working days of final meeting (Week 3)

Proposal Reading & Drafting Pilot
A measured pilot of an AI assist that reads incoming supplier proposals and contract drafts, prepares summary memos, and surfaces inconsistencies for buyers to consider. Integration is read-only; buyers confirm all decisions. Includes a six-week supervised period, training for two buyers, and a usage policy aligned with MOF circulars and PDPA.
Designed for organisations that have completed an assessment (either ours or their own) and are ready to run a structured, supervised test with a real document workflow.
What This Engagement Includes
- Read-only AI integration with your supplier proposal workflow
- Six-week supervised pilot with adviser review at each stage
- Training for two buyers — what the AI does, what it does not do
- Written usage policy aligned with MOF circulars and PDPA requirements
- End-of-pilot brief with findings and go / pause / stop recommendation
Process Steps
Usage policy drafted and agreed (Week 1)
AI integration configured and buyer training delivered (Week 1–2)
Live pilot with weekly adviser output review (Weeks 2–7)
End-of-pilot findings brief delivered (Week 7–8)

- MOF Treasury Circular alignment checks — flagging any relevant updates
- PDPA compliance review against any changes in data handling
- Yearly written summary formatted for audit committee review

PROFESSIONAL STANDARDS
Standards Applied Across All Services
Data Security
Client documents are handled under strict access controls. Data does not leave agreed boundaries. PDPA data handling note is produced before any document processing begins.
Written Record
Every recommendation, finding, and policy is produced in writing. Nothing is left as a verbal understanding. Written outputs are formatted for client retention and review.
Regulatory Alignment
MOF and Treasury circulars applicable to your entity category are reviewed at the start of each engagement. Recommendations are checked against this framework before delivery.
Read-Only Integration
AI tools used in our pilots operate on a read-only model. No write access to procurement systems. No automated outbound communications on behalf of the organisation.
Direct Adviser Access
You communicate with the same adviser throughout your engagement — not a support queue. Response within one working day on all queries during an active engagement.
Buyer Authority Preserved
The boundary between AI reading and buyer decision-making is explicit in every usage policy we produce. Award authority is never delegated to a model, explicitly or by implication.
