Questions Procurement Teams Often Raise


Does the AI tool make procurement decisions on our behalf?
No. The AI only reads and summarises documents. Every award decision, shortlisting, and contract confirmation remains with your qualified procurement officers. This boundary is written into the usage policy before any engagement begins.
How does your work align with MOF procurement circulars?
We review the current MOF and Treasury circulars that apply to your entity category before writing any recommendation. Our brief explicitly maps which AI functions sit within permitted boundaries and which fall outside them.
What does "read-only integration" mean in practice?
During the pilot, the AI assist has access to read documents you supply. It cannot write into your procurement system, update supplier records, or send communications. Output is a memo that your buyers review and act on at their discretion.
How long does the Procurement Workflow Review take?
Typically two to three weeks from the date we receive your document samples. We schedule one meeting with your procurement head and one with a category lead, then deliver a written brief within five working days of those sessions.
How is our supplier data and document content handled under PDPA?
Before any document is processed, we prepare a data handling note that identifies what categories of personal data may appear and how they will be treated in accordance with Malaysia's Personal Data Protection Act 2010. You receive a copy to retain for compliance purposes.
Can the Quarterly Stewardship service be shared with our audit committee?
Yes. The yearly written summary produced under Quarterly Stewardship is specifically formatted for audit committee review — plain language, structured findings, and a clear record of which AI boundaries were checked each month.
Do we need to have existing AI tools in place before engaging you?
No. The Workflow Review is designed for teams that are still at the assessment stage. The Proposal Reading Pilot introduces AI tools alongside your team. Quarterly Stewardship is for teams already running AI assists who want ongoing oversight.
